Exhibitor Terms & Conditions
These Conditions apply to the Package purchased for IFSSE. Please read them carefully before confirming your stall booking.

In these Conditions, the following terms shall have the following meanings:
- Booking Form / Invoice: The official reservation document or invoice issued setting out the details of the stall allocation, sponsorship tier, fees, and applicable payment deadlines.
- Client / Exhibitor: The person, firm, organization, company, or entity submitting a reservation or purchasing an exhibition booth/sponsorship package for the Event.
- Conditions: These terms and conditions governing participation in the Event.
- Contract: Together, these Conditions, the Booking Form, and the official invoice issued by the Organizer.
- Event: The 10th Edition of International Fire, Safety and Security Expo 2026 in Bangladesh, organized by ESSAB.
- Fees / Tariffs: All stall booking fees, sponsorship charges, and related tariffs payable by the Client, which are strictly exclusive of VAT and TAX.
- Organizer: Electronics Safety & Security Association of Bangladesh (ESSAB).
- Space / Booth: The specific exhibition hall area (located within Harmony Hall, Carnival Hall, or Milkyway Hall) allocated to the Client for displaying exhibits.
Venue: The designated event center hosting the 10th Edition of International Fire, Safety and Security Expo 2026 in Bangladesh.
2. Booking and Booth Allotment
- 2.1 Opening of Booking System: The official booking system for the Event opens starting at 12:00 PM on July 01, 2026.
- 2.2 Allotment Basis: Exhibition booths and space packages are allocated strictly on a first-come, first-served basis.
- 2.3 ESSAB Membership Discount: Members of ESSAB are eligible to receive the ESSAB Membership Discount rate as outlined in the attached official price plan.
- 2.4 Restrictions on Transfer and Sub-Rental: Allocated exhibition booths are non-transferable; the Client is strictly prohibited from transferring, exchanging, or sub-renting the allocated Space to any third party.
2.5 Upgrade Opportunities: The Client may request to upgrade their allocated booth size or sponsorship package, subject strictly to space and package availability.
3. Fees, Payment Terms, Currency Conversion and Tariffs
- 3.1 Non-Refundable Deposit: A non-refundable booking deposit amounting to 20% of the total contract amount together with the applicable Membership fees must be deposited into ESSAB's designated bank account within 7 days from the booking date.
- 3.2 Final Payment Deadline: The remaining balance of the stall booking fee must be fully cleared on or before September 30th, 2026.
- 3.3 Approved Payment Channels: All payments under this Contract must be executed either through the official online payment gateway (www.lfsse.com) or directly remitted into ESSAB's bank account.
- 3.4 Local Currency Conversion Rate: For all local currency payments made in BDT, the mandatory conversion rate is set at USD 1.00 = BDT 123.00.
- 3.5 VAT and TAX Exclusions: All quoted tariffs, booth fees, and sponsorship charges are strictly exclusive of VAT and TAX.
- 3.6 Non-Refundable Payments: All payments remitted by the Client toward stall bookings or sponsorship packages are strictly non-refundable.
- 3.7 Automatic Cancellation for Default: If full payment is not received by the Organizer on or before the final payment date specified on the invoice, the reservation will be automatically cancelled without prior notice.
4. Space Specifications, Height Restrictions and Artwork
- 4.1 Maximum Height Restrictions: Exhibition stall construction and display heights are strictly restricted to a maximum of 10 feet for Harmony Hall and Carnival Hall, and 12 feet for Milkyway Hall.
- 4.2 Submission of Branding and Artwork: For all event printings, directory inclusion, and official advertisements, the Client/Sponsor must supply all logos and printing materials exclusively in AI (Adobe Illustrator) vector format.
5. Venue Facilities, Inspection and Belongings
- 5.1 Climate Control Provisions: Central air conditioning will be provided for exhibition booths situated in Harmony Hall and Carnival Hall, while portable air coolers will be supplied for Milkyway Hall.
- 5.2 Physical Inspection Requirement: The Client is required to inspect and verify the physical condition of the allocated space and venue facilities at their own responsibility.
- 5.3 Responsibility for Materials: The Client assumes sole responsibility for the security, protection, and safety of all personal belongings, exhibits, tools, and materials brought to the Venue.
6. Liabilities, Venue Damage and Penalty Charges
- 6.1 Damage Liability: The Client assumes full financial liability for any damage caused to venue fixtures, fittings, interior structures, shell scheme materials, or any other physical assets owned by the Organizer, event manager, or venue authority.
- 6.2 Shell Space Partition Fine: A mandatory fixed fine of USD 300.00 shall be levied against the Client for any damage caused to shell space partition panels.
- 6.3 Penalty for General Venue Damage: For all other venue asset or property damages, penalty charges billed to the Client will be calculated at twice the actual repair or replacement cost.
7. Organizer Rights, Modifications and Cancellation Policy
- 7.1 Layout and Schedule Alterations: ESSAB reserves all rights to alter or modify the hall floor plan, event policies, or scheduled event dates considering any unwanted or unforeseen situation.
- 7.2 Organizer Cancellation and Full Refund: ESSAB reserves the right to cancel any booth booking or sponsorship without prior notice considering any unwanted or unavoidable situation. In the event of such a cancellation initiated directly by ESSAB, the full amount paid by the Client will be refunded in full.
